Work through a recording

Video link import troubleshooting for podcast clips

Diagnose failed video imports: distinguish direct files from sharing pages, check access and limits, and prepare an authorized upload fallback.

Start by identifying what the link opens. A public HTTPS video file and a public YouTube video can be import sources; a protected meeting page, cloud-drive viewer or expiring download page may not be. Read the actual failure, check the source and use an original file you are authorized to upload when the host cannot provide it reliably.

Check access without exposing credentials

A video may play in your signed-in browser while a server cannot download it. The source can require a login, restrict downloads, expire a signed link or block automated requests. Do not place passwords or account tokens in a URL or send browser cookies as a workaround. If you control the source, obtain the original through its normal download options and upload that file instead of weakening its privacy settings.

Separate downloading, validation and transcription

An import can fail before a file arrives, during download or when its media is validated. Check whether the error refers to source access, size, duration or missing video/audio. Compare the recording with the current limits displayed in your library. A ready video with transcription still queued is a different state: source playback does not mean captions or suggestions are ready. Avoid starting duplicate imports to solve a transcript delay.

Use a known-good file and keep useful support details

Download your authorized original, play it locally and confirm both tracks before uploading. If it exceeds the source limits, prepare a smaller copy externally. When reporting a persistent failure, describe the source type, visible error and approximate time, without posting private links or credentials publicly. Import availability depends on the host and network, so another attempt is not a guaranteed fix. Keep the original even after a successful import.

A fictional cloud-recording share page

Illustrative example. The people, recordings and results described here are fictional.

A producer pastes a meeting-recording share URL and receives an access error. The recording plays in their browser because they are signed in, but the page does not expose an unrestricted file to the importer. The producer uses the owner’s normal download option, checks the MP4’s guest audio and uploads the file. They then wait for the separate English transcription task before editing captions.

Solve the failed stage; a working browser session is not proof that a public import is available.

Check before you finish

  • The URL is a supported source type rather than a login or viewer page.
  • You have permission to download, edit and publish the recording.
  • The visible error has been matched to access, validation or processing.
  • An authorized original-file fallback is available and plays correctly.

Practical questions

Why can I play a link but not import it?

Your browser can have a session or permissions the importer does not have. The host can also allow playback while restricting file downloads or automated access.

Can CastCuts import every cloud-drive sharing link?

No. Public direct HTTPS video files and supported individual YouTube videos are the documented link sources. Use an authorized file download for other sharing services.

Will retrying the same URL fix the problem?

Sometimes source availability changes, but repeated attempts do not remove login requirements or repair invalid media. Inspect the error and prepare the original-file fallback.

Use this workflow in CastCuts

Compare video-link import and original upload

CastCuts selects continuous 1–90 second excerpts and exports 9:16, 720 × 1280 H.264/AAC MP4 files. Automatic transcription and transcript-based suggestions support English and require review. Free exports include CastCuts branding; Pro removes it from new renders for $9 USD/month, with the same processing and storage limits. Episode media is retained for 24 hours. Keep your originals and download finished clips before expiry. Publishing is manual.
