Work through a recording

How to turn a Microsoft Teams recording into short clips

Prepare Teams meeting clips with authorized recording access, a confidentiality review, readable presentations and checked exported captions.

Get an authorized download of the Teams recording from the organizer, review its content for public use, then upload the video to CastCuts. Teams recordings may be stored in OneDrive or SharePoint depending on the meeting. Viewing a meeting recording does not automatically give you permission to download or publish an excerpt.

Ask for the recording file through the proper owner

Microsoft documents recordings accessible from the meeting chat or calendar, with non-channel meeting recordings stored in the organizer's OneDrive and channel recordings in SharePoint. Its support page restricts meeting-recording downloads to the organizer. Ask that person for an approved file when you cannot download it yourself. Organizational policies and retention can affect availability, so secure the source before planning an edit. Do not paste a private Microsoft 365 viewer link into a public video-import field or weaken sharing permissions merely to obtain an upload.

Choose a passage cleared for its intended audience

A useful customer answer or internal training explanation can still contain information unsuitable for public social accounts. Review spoken names, shared tabs, account details and small text in presentation screenshots. Confirm the exact excerpt and publishing destination with the appropriate content owner. If a screen must be redacted, prepare that source externally before uploading. Give the clip enough setup to identify its subject without suggesting an employee's provisional answer is a company commitment. Keep the approved boundaries in your own editing notes.

Check the downloaded sound and caption state

Microsoft notes that captions displayed in its player are not captured in the downloaded recording. Play the actual file rather than assuming the captions you saw are embedded. Check every necessary voice, particularly an answer after a shared-screen segment. CastCuts caption editing requires its own available timed transcript; free automatic transcription is English-only. Review specialist terms, product names and numbers against the audio before rendering. If captions are already visibly burned into another prepared source, avoid layering a second set over the same words.

Review one complete instruction at phone size

Upload an MP4, MOV or WebM with video and audio inside the displayed limits, normally 512 MiB and two hours. Choose a complete 1–90 second passage. Check the necessary control or figure in the downloaded 720 × 1280 MP4, along with the approved wording. Save the original and exports before the 24-hour expiry. Social publication remains manual.

Fictional worked example: an onboarding answer cleared for public use

Illustrative example. The people, recordings and results described here are fictional.

A trainer finds a 37-second Teams answer about project notes. The organizer supplies an approved recording, but its screen shows a private workspace name. After preparing a clean demonstration externally, the trainer checks permission for the excerpt, corrects a product term in the English transcript and tests the export's framing.

Review the downloaded video as a new publishing asset with its own access and content checks.

Check before you finish

  • The organizer has supplied an authorized recording file.
  • The excerpt and destination have the necessary publication approval.
  • Downloaded audio and any captions have been checked directly.
  • The final video preserves the instruction and excludes private details.

Practical questions

Can CastCuts sign in to my Teams or OneDrive account?

No native Teams, OneDrive or SharePoint connection is provided. Download an authorized file through your organization and upload a supported copy yourself.

Why are the Teams captions absent from my downloaded video?

Microsoft says player captions are not captured in recordings or downloads. Review the file and use available timed transcript captions in CastCuts if you want words rendered into the clip.

Does downloading prevent the organization's recording from expiring?

A saved file does not change Microsoft 365 retention policy. Keep any permitted master in your approved storage, and remember that CastCuts applies its own separate 24-hour media window.

Use this workflow in CastCuts

Create excerpts from an approved meeting video

CastCuts selects continuous 1–90 second excerpts and exports 9:16, 720 × 1280 H.264/AAC MP4 files. Automatic transcription and transcript-based suggestions support English and require review. Free exports include CastCuts branding; Pro removes it from new renders for $9 USD/month, with the same processing and storage limits. Episode media is retained for 24 hours. Keep your originals and download finished clips before expiry. Publishing is manual.
